Functions and Responsibilities<\/h3>\n
\n
    \n
  1. To receive the recommendation\/indents of the individual departments.<\/li>\n
  2. To approve and rise the quotations.<\/li>\n
  3. To analyze the quotations and comparative statements provided by the department.<\/li>\n
  4. Identify the appropriate vendors and call for negotiation.<\/li>\n
  5. To approve the quotation\/s with the best competitive price and at the same time without compromising the quality.<\/li>\n
  6. To identify the vendor for the issue of PO (Purchase Order) of quoted equipment\/items.<\/li>\n<\/ol>\n<\/div>\n<\/div>\n

    Objective<\/h3>\n
    \n

    Committee shall review funding, allocations, and expenditures of the College on the construction and implementation of the College budget.<\/p>\n<\/div>\n<\/div>\n

    \n

    Standard Operating Procedure for Budget and Purchase Committee<\/h3>\n
    \n
      \n
    1. Budget Circular is sent to the HOD\u2019s requesting them to forward their budget proposals of the subsequent year by the set date.<\/li>\n
    2. Principal receives Budget proposals from different departments as submitted by HOD\u2019s.<\/li>\n
    3. Principal forwards the Budget proposal which has received from the departmental heads and forwards the same to Budget Committee for discussion and forwards to Governance Cell<\/li>\n
    4. Governance Cell approves the Budget Proposals received from the Budget Committee and communicate the approval to the Principal for further action.<\/li>\n
    5. Principal re-communicates departmental budget allocations as approved in the Governing Body to the respective Departments \/ HOD\u2019s.<\/li>\n
    6. At the end of the academic year the annual report and action taken report are to be submitted to IQAC.<\/li>\n<\/ol>\n<\/div>\n<\/div>\n

      Minutes of meeting Procedure<\/h3>\n
      \n
        \n
      1. All meetings shall be convened by the chairperson\/convener with prior notice to all committee members.<\/li>\n
      2. Minutes of meeting will be noted down by the convener and same will be discussed with committee members.<\/li>\n
      3. It is compulsory for the members to attend the meeting.<\/li>\n
      4. Maintenance of necessary records of the committee in a file: Notice\/Photos\/Statistical data \/Minutes of meeting\/Prepare brief report on events.<\/li>\n
      5. Meeting:\u00a0<\/strong>The Committee should meet at least once in every semester.<\/li>\n
      6. Quorum:<\/strong>The quorum for the meeting shall be two-thirds of the total number of members.<\/li>\n
      7. Record<\/strong> Keeping:\u00a0<\/strong>The agenda, minutes of meeting and Action Taken Reports are to be documented with official signatures and maintained in a register and electronically in a retrievable format (scanned copy).<\/li>\n
